Mancan is seeking a Front Office/Finance Assistant provides essential administrative and financial support with a primary focus on maintaining residents’ accounts receivable. This role ensures accurate, timely updates to the resident master file and produces required financial and operational reports. The position also serves as a front-line contact for residents, staff, and external parties.
Key Responsibilities :
Accounts Receivable & Financial Support
Post payments to resident accounts and prepare daily bank deposits.
Maintain write-off accounts and accounts receivable files.
Manage AP payment and move-out files.
Generate reports for supervisors and agency management, including the Allied Waste report.
Update, balance, and maintain monthly credit card files.
Enter utility data into spreadsheets.
Process all move-out cards and run bi-weekly reports.
Front Office & Administrative Duties
Serve as receptionist, answering phones and assisting residents, prospective residents, vendors, and visitors.
Open and process daily incoming mail; process outgoing mail as needed.
Collect fees and stamp project bid information.
Communicate regularly with site property managers and office staff.
Housing Program Support
Assist in processing HCVP and public housing applications, including issuing numbers, entering data, verifying debts owed, and preparing verification letters.
Maintain public housing and HCVP debt lists, including updating debt records and entering information in the EIV system.
Secondary Responsibilities
Provide phone coverage for the Hil-Dar Site Manager when needed.
Enter work order requests as needed.
Perform additional administrative support tasks as assigned.
Qifications.
Education
High School Diploma or GED requir
Additional education or training in bookkeeping preferred.
Experience
Minimum two years of general bookkeeping experience preferred.
Experience using automated accounting or bookkeeping software preferred.
Knowledge, Skills & Abilities
Strong data entry skills with a high degree of accuracy.
Working knowledge of bookkeeping techniques, business math, and accounting procedures (including WHA software).
Proficiency with calculators, PCs, and standard office equipment.
Familiarity with office practices and administrative procedures.
Ability to multitask, stay organized, and maintain confidentiality with sensitive information.
Ability to apply cross-training and assist with various bookkeeping functions.
Valid driver’s license (may be restricted to corrective lenses or automatic transmission).
