Position Overview
We are seeking a detail-oriented, organized, and proactive Administrative Assistant/Project Coordinator to support our project management team. This position plays a vital role in ensuring seamless operations across contractor compliance, project scheduling, vendor coordination, and accurate documentation.

Key Responsibilities
Project & Contractor Coordination
• Ensure contractor compliance and resolve non-compliance issues.
• Source, solicit, and maintain relationships with local and out-of-state contractors.
• Prepare bid packages, subcontractor agreements, and change orders.
• Serve as a communication link between contractors and internal teams.
• Review contractor invoices and prepare weekly payroll for approval.
Project Administration
• Generate purchase orders for materials and services.
• Review, code, and track project expenses; resolve billing discrepancies.
• Coordinate support services (disposal, security, freight, etc.).
• Arrange lodging, travel, and transportation for project teams.
• Develop and maintain project schedules, estimates, and job folders.
• Track project progress and update master worklists.
Estimating & Documentation
• Request, review, and verify accuracy of drawings and specifications.
• Perform quantity takeoffs and prepare detailed cost estimates.
• Obtain competitive quotes for materials, travel, and services.
• Prepare and submit client proposals, invoices, and billing documentation.
• Maintain spreadsheets, logs, and filing systems.
General Office Support
• Operate standard office equipment (calculator, copier, scanner, fax, computer, printer).
• Perform data entry, filing, and document preparation.
• Assist with warranty and repair coordination.
• Attend company meetings and provide administrative support as needed.

Required Skills & Qualifications
• High school diploma or equivalent (Associate’s or Bachelor’s preferred).
• Strong oral and written communication skills.
• Excellent organizational and time management abilities.
• Proficiency with Microsoft Office and data entry systems.
• Ability to read and interpret technical documents and drawings.
• Strong customer service skills and professional demeanor.
• Math aptitude for cost estimating and billing.
• Ability to multitask in a fast-paced environment.
