The Office Administrator provides critical support to the Plant Manager, Corporate HR Manager, Shipping Coordinator, Executive Vice President, and other corporate team members. This role is ideal for a highly motivated professional who thrives in a fast-paced environment and is comfortable managing a wide range of responsibilities.
The successful candidate is organized, adaptable, and capable of handling both administrative and executive support tasks with minimal supervision. They are detail-oriented, flexible, and enjoy the challenges that come with supporting a diverse and dynamic team.
This position is Monday through Friday, 8:00 AM to 4:30 PM, with a pay range of $21–$23 per hour, based on experience.
Essential Duties and Responsibilities
The essential functions of this role include, but are not limited to:
• Answer and direct incoming telephone calls in a professional manner
• Serve as backup to the Shipping Coordinator as needed
• Collaborate with staff to support and exceed company safety initiatives
• Conduct safety training for new employees
• Perform safety walkthroughs and ensure completion of all forklift checklists
• Organize LOTO work orders and coordinate toolbox talks
• Process and distribute incoming mail
• Accurately enter accounts payable invoices into the company’s accounting system
• Scan and distribute paid invoices in a timely manner
• Enter basic accounting transactions within the AP module
• Track wood chip purchases and generate invoices for accounts payable
• Support local HR functions, including collecting onboarding paperwork, forwarding documents to the HR Manager, assisting employees with questions, and maintaining personnel files
• Track employee reimbursements (boots, safety glasses, etc.) and benefits in Paylocity
• Coordinate pre-employment and random drug screenings
• Receive and process daily product purchase orders
• Generate production, sales, and shipping reports as needed
• Monitor daily product inventory levels and update inventory reports accordingly
• Coordinate daily with the Production Manager, Corporate Shipping Coordinator, and Plant Shipper

Minimum Qualifications (Knowledge, Skills, and Abilities)
• High school diploma or equivalent required
• Proficiency in Microsoft Office, particularly Excel and Word
• Strong working knowledge of email and internet applications
• Accurate data entry and keyboarding skills
• Understanding of general office administration procedures
